Complete Home Documentation

You Own a $6M Home. Do You Know What's Inside It?

A complete digital record of every system, schedule, and specification in your home. Built by professionals who actually understand the equipment.

The Gap You Don't See

Every Luxury Homeowner Has Lived This

Your housekeeper asks what cleaning product to use on the kitchen countertops. You have no idea what stone it is or what the builder specified. You guess. The sealant gets damaged.

A pipe bursts at 11pm. Your spouse asks where the main water shutoff is. Neither of you knows. By the time you find it, there's $30,000 in water damage.

You need to file an insurance claim after a hail storm. The adjuster asks for the age and model of your roof, your HVAC units, and your outdoor equipment. You have none of it documented. You're guessing at answers that could cost you thousands.

You're selling your Myers Park home. The buyer's inspector asks for maintenance records. You have a garage door opener manual and nothing else. It costs you negotiating leverage and potentially $50,000 off the sale price.

These are not hypothetical scenarios. These happen to homeowners like you every week.

Complex home systems requiring documentation
The Deliverable

What's Inside Your Property Manual

This is not a surface-level walk-through. This is a complete operational blueprint of your home. Every system, every schedule, every specification you need to run your property like a professional.

Systems Inventory

Every mechanical system documented with make, model, serial number, installation date, and warranty status. HVAC, water heaters, generators, pool equipment, irrigation controllers, security systems, smart home hubs, fire suppression, elevator equipment.

If it has a model number, it's in here.

Maintenance Schedule

A custom preventative maintenance calendar for every system in the home, with service intervals, seasonal tasks, and estimated costs. Built around Charlotte and Lake Norman climate patterns.

Humidity, storm season, freeze risk, pollen. Your schedule reflects your actual conditions.

Vendor Directory

Contact information for every current service provider working on the property, plus Vantesso-vetted alternatives. Organized by trade with notes on service history and performance.

When you need an electrician at 7pm on a Saturday, you know exactly who to call.

Warranty Tracker

Every active warranty catalogued with expiration dates, coverage details, and claim procedures. No more wondering if the roof is still under warranty after a hail storm.

No more lost paperwork when you need to file a claim.

Finishes & Specifications

Paint colors with manufacturer codes. Flooring materials. Stone types. Tile specifications. Fixture models. Hardware finishes. Room by room.

When something needs to be matched or replaced, you have the answer immediately instead of guessing or repainting an entire wall to get a match.

Emergency Reference

Location of every shutoff valve, breaker panel, main water shutoff, gas shutoff, fire extinguisher, first aid kit, and emergency contact. Formatted for quick access in a crisis.

When a pipe bursts or a breaker trips, you're not searching. You're acting.

Photo Documentation

Timestamped photos of every major system, utility access point, and area of concern. Creates a baseline visual record of property condition.

Useful for insurance claims, sale documentation, and tracking changes over time.

Digital Delivery

Everything organized in a searchable digital format. PDF plus structured database. Accessible from your phone, tablet, or computer. No binder collecting dust in a closet.

You can pull up your generator's serial number while you're on the phone with the service company.

The Process

How It Works

From first call to delivered manual, here's what to expect.

1

Schedule the Audit

A 15-minute call to discuss your property, its complexity, and what you need. We determine scope and schedule the on-site visit. If you have existing documentation from your builder or previous owner, we incorporate it. If you're starting from zero, that's fine too.

2

On-Site Property Audit

Our team conducts a full walkthrough of your property. Every room, every system, every closet with a utility panel. For a typical 6,000 to 8,000 square foot home, this takes 4 to 6 hours. Larger or more complex properties may require multiple visits. We document serial numbers, take photos, note system conditions, and flag anything that needs immediate attention.

3

Research & Compilation

We cross-reference serial numbers with manufacturer databases, verify warranty status, build your custom maintenance schedule, and compile everything into a structured document. This takes 2 to 3 weeks after the on-site visit. You get a draft for review before final delivery.

4

Delivery & Walkthrough

You receive your complete Property Manual in digital format. We schedule a 60-minute walkthrough to review the findings, flag any immediate concerns, and answer questions about your home's systems. You leave the call knowing exactly what needs attention and when.

Who Needs This

Is the Property Manual Right for You?

New Homeowners

You just closed on a complex property and the previous owner left you with a garage door opener manual and nothing else. The builder's one-year warranty is ticking.

You need someone to walk the property, document everything, and tell you what needs attention before small issues become expensive ones.

Real Estate Professionals

Offer the Vantesso Property Manual as a closing gift or buyer service for transactions over $4M. It positions you as an agent who thinks beyond the transaction and gives your buyer immediate value.

Homeowners Preparing to Sell

A complete maintenance history and system documentation package makes your listing stand out. Buyers and their inspectors see a well-documented home and gain confidence.

It reduces negotiation friction and can protect your sale price. Documentation is leverage.

Common Question

“I Already Had a Home Inspection”

A Home Inspection Is:

  • A point-in-time pass/fail assessment designed to flag defects for a real estate transaction
  • Takes 3 to 4 hours and results in a report that tells you what's wrong today
  • Sits in a drawer after closing
  • Done by generalists who may not have deep experience with the complex mechanical systems in $4M+ homes

A Property Manual Is:

  • A living operational document that tells you how your home works, when everything needs service, who to call, and what to do in an emergency
  • Gets used every month when something needs attention or maintenance comes due
  • Built by a team with deep experience in multi-zone HVAC, whole-home generators, marine equipment, commercial-grade pool systems, and smart home infrastructure
  • Documents systems the way an engineering officer would, not the way a general inspector would

An inspection report tells you what's broken. A Property Manual tells you how to run your home like a professional. They serve different purposes.

Investment

Custom Pricing Based on Property Complexity

Property Manual pricing is based on the size and complexity of your home. A 5,000 square foot primary residence with standard systems is a different scope than a 12,000 square foot waterfront estate with a boathouse, generator, and multi-zone smart home system.

Schedule a call to discuss your property and receive a custom quote.

Most homeowners who complete a Property Manual audit discover maintenance gaps that, left unaddressed, would cost 10 to 20 times the price of the audit itself.

Frequently Asked Questions

How long does the property audit take?

For a typical 6,000 to 8,000 square foot home, the on-site audit takes 4 to 6 hours. Larger properties or homes with extensive mechanical systems (boat lifts, multiple HVAC zones, whole-home automation) may require a full day or multiple visits. You do not need to be present for the entire audit, but we recommend being available for the first 30 minutes to answer questions.

What if I already have some documentation from my builder or previous owner?

We incorporate whatever you have. Builder turnover documents, appliance manuals, service records, warranty cards. We fill in the gaps, verify what's there, update anything that's changed, and organize it all into a single searchable system. Existing documentation makes the process faster, but it's not required.

Can I add my Lake Norman vacation home to the same audit?

Yes. If you have multiple properties in the Charlotte or Lake Norman area, we can audit them together and deliver separate manuals for each. Pricing adjusts based on total scope. Many clients bundle their primary residence and their lake home into a single engagement.

Do I need to be home during the audit?

Not for the entire visit. We need access to all areas of the property, including mechanical rooms, attics, crawl spaces, and utility closets. If someone can let us in and provide access codes or keys, we can work independently. We'll reach out if we have questions.

Does the Property Manual lead to ongoing estate management?

It can, but there is no obligation. The Property Manual is a standalone product. Many clients use it as a way to understand what professional property oversight looks like before committing to a monthly retainer. Some complete the manual and handle maintenance themselves. Others realize they want someone else managing it and transition to ongoing service. Both are fine.
